The Sales Specialist will play a critical role in the success of Peterson Builders, Inc. (PBI) by managing the lead pipeline, organizing incoming client inquiries, and supporting the sales process to drive conversions. Reporting to the Director of Marketing and Sales, this position is responsible for tracking and analyzing lead performance metrics, ensuring seamless communication and collaboration between Project Executives, and maintaining the progression of leads toward signed Preconstruction Services Agreements (PSAs).
Additionally, the Sales Specialist will provide essential email management, administrative support, and meeting coordination for Project Executives, while serving as the company receptionist to create a professional, welcoming, and polished environment for clients and visitors.

Reports to: Director of Sales and Marketing (This is who they directly report to, there one supervisor)
Key Responsibilities
Lead Management
- Record, Track, and Organize Leads
- Accurately record all incoming leads and maintain organized records within the Builder Playbook software.
- Lead Qualification
- Conduct initial communication with potential clients to determine if they meet PBI’s criteria for a qualified lead.
- Performance Metrics and Reporting
- Monitor and report on lead-to-qualified-lead ratios and qualified-lead-to-PSA conversion rates.
- Provide actionable insights and recommendations to improve lead management processes.
- Sales Pipeline Oversight
- Collaborate with Project Executives (Ben and Jason) to ensure all leads progress through the sales pipeline efficiently.
- Schedule and manage meetings with qualified leads to support the transition toward PSA agreements.
Meeting Coordination and Follow-Up
- Attend all lead-related meetings to create agendas, document meeting notes, and capture key action items and decisions.
- Send follow-up emails promptly after meetings, summarizing notes, assigning action items, and ensuring accountability for deadlines.
- Proactively track progress on meeting action items and communicate updates to relevant team members.
Email Management for Project Executive
- Monitor Project Executives’ email inboxes daily to identify and flag high-priority communications requiring immediate attention.
- Help categorize emails by urgency and topic (e.g., hot leads, client follow-ups, project updates).
- Draft and send professional responses to urgent client or vendor emails on behalf of Project Executives when appropriate, ensuring alignment with PBI’s tone and values.
- Implement organizational systems, such as folders, labels, or automation rules, to improve inbox efficiency.
- Regularly review inboxes for unread or overlooked emails and escalate them to the appropriate team members.
Secondary Responsibilities
Reception Duties
- Serve as the first point of contact for PBI, answering calls, greeting visitors, and directing inquiries to the appropriate team members.
- Ensure reception areas, conference rooms, and client-facing spaces are clean, organized, and ready to host clients, including providing water and other refreshments as needed.
- Coordinate with the Administrative department for larger office upkeep tasks.
Sales Team Support
- Set up computers and prepare agendas for all Sales Department meetings, ensuring all necessary materials and resources are ready in advance.
- Provide additional administrative support to the Sales and Marketing Department, such as managing calendars, scheduling appointments, and generating reports as needed.
